- Invoice multiple jobs at once
Do you do heaps of smaller jobs that could be invoiced without manual intervention or checking every single one? What about using recurring jobs or jobs from the maintenance planner that you know are already at the correct rate? You ask “Why oh why do I need to go into each one to send the invoice?”
Answer, you don’t.
A really neat little feature that not many people know about is the ability to invoice any number of jobs with a single click. Simply head over to the completed jobs list, then tick off the jobs you would like to raise an invoice for down the left hand side (if you would like all of them just tick the box at the top) then go to the bottom of the list in your completed job options and click the invoice button. Now obviously doing it this way won’t give you the opportunity to drill into each one to check them off but if you know you don’t need to then this is an easy peasy way to get it done.
Now let’s say you have just created 100 invoices, rather than going to each of them to print them off, why not just print them all off at once? Head on over to Report > Sales > Invoices, filter by invoices created today then select the format you would like the invoices printed (or emailed) in and click print to drop them onto your printer, or email to send them out to everyone’s inbox.
Job done. Now where’s that coffee?
The generic client portal
Want to stop the phone from ringing for people chasing up their invoices or checking on the job status? Why do we need to spend all that time giving out information that could be easily obtained for the client, if only there was a way?
Enter the client portals. Yes, plural.
There are two versions of client portals. For people on simPRO enterprise the client portal is a very simple page that you can give your customers a login to that allows them to see a list of their jobs, their current status (and view a PDF about those jobs for more information) like who is scheduled, when and what public attachments they have access to. They can also view a list of their invoices, past and present, along with the ability to print off their own statements!
Let’s take it to another level here, why not get the client to take care of some of your administration for you! Lets them feel like they are more in control and you get a free ride. Using these logins, clients can request jobs or quotes and build them up themselves using the prebuilds sell pricing that you allow them to have access to (easily configured on the prebuild itself who has access to what materials & prebuilds). So the first you know of it is when a new alert appears on your dashboard stating the customer has requested a job, with all the parts already on there, do you want to take it on?
Ok, as if that wasn’t already cool enough, we have the advanced client management portal for people running simPRO fire or who subscribe to the CMP. This does all of the above and more. Customers have advanced reporting tools including defect reports, maintenance reports, and induction reports with heaps more. This advanced client management portal is really good for facility and property managers who need detailed reports on the equipment you maintain for them. Another gem is the fact that they can also setup their own sub users so that the client can determine which of their own employee’s have access to what.
So now that you have given your clients some more mental ownership of their work, instant reporting capabilities and offloaded a whole bunch of your own overhead in administrative time, who’s up for heading down the pub?
Who gets the Christmas hamper?
One of my favourite reports in the system is called the Client Rank Report, or as we like to call it the “Who gets the Christmas hamper” report. Just for your own information wouldn’t it be nice to know for sure based on say… gross profit, who your top 10 clients are?
Easy. Go to Reports > Clients > Rank, then filter for the number of clients you would like to see the results of, date ranges, how you would like them ranked and a whole heaping lot of other options, then click submit. Voila, a list of clients in order of how you would like them ranked. Now, onto the gift cards (and don’t forget your friendly simPRO support staff).
