simPRO Tips & Tricks – March 2010

Wednesday, March 10th, 2010

Quick TipsThis month in Tips & Tricks we show you how to:

i. Invoice multiple jobs at once,

ii. Set up your client side simPRO login, and

iii. Decide on who gets a Christmas Hamper this year.

    Invoice multiple jobs at once

Do you do heaps of smaller jobs that could be invoiced without manual intervention or checking every single one?  What about using recurring jobs or jobs from the maintenance planner that you know are already at the correct rate?  You ask “Why oh why do I need to go into each one to send the invoice?”

    Answer, you don’t.

A really neat little feature that not many people know about is the ability to invoice any number of jobs with a single click.  Simply head over to the completed jobs list, then tick off the jobs you would like to raise an invoice for down the left hand side (if you would like all of them just tick the box at the top) then go to the bottom of the list in your completed job options and click the invoice button.  Now obviously doing it this way won’t give you the opportunity to drill into each one to check them off but if you know you don’t need to then this is an easy peasy way to get it done.

Now let’s say you have just created 100 invoices, rather than going to each of them to print them off, why not just print them all off at once?  Head on over to Report > Sales > Invoices, filter by invoices created today then select the format you would like the invoices printed (or emailed) in and click print to drop them onto your printer, or email to send them out to everyone’s inbox.

Job done.  Now where’s that coffee?

The new Motorola MC9500-K is one of the most rugged and powerful mobile devices for the field service management industry yet.

It is a striking looking unit that is packed with features that ensures it will be a perfect tool for field service companies everywhere with ergonomically designed ruggerdised casing, multiple communications standards (GSM, HSDPA, CDMA, Wi-fi) and a bar code reader.

In terms of a fit for simPRO integration, it is a perfect unit. Running on Windows Mobile 6.1, the large 3.7″ screen, full QWERTY keyboard and blazing fast 3.5G connection means that it is fully supportive of the simPRO Mobile PDA/Smartphone application.

Because it also has Bluetooth connectivity, the Motorola MC9500 is also compatible with the simPRO Mobile Digital Pen solution.

The combination of the PDA application & the Digital Pen solution creates the ultimate in field service systems delivering real time data to the PDA with stock control, job dispatch, purchase orders etc and combining that with reporting, client signature capture, incident reports and site diaries driven from the pen and paper.  Utilising these tools together brings the field worker and the office together like never before.

Snowed in? Run your Businesses from Home with Web Based Systems

Wednesday, January 6th, 2010

If you are like many thousands of business owners/managers today in the UK, you might find it almost impossible to be running the business due to the UK snow falls as you, your staff and likely your customers are all caught up in massive snow induced problems.snow man

Whilst for the lucky few getting snowed in is great fun, for the rest of us it can bring a lot of headaches such as managing the business, rescheduling work and having a lot of highly paid people sitting around being unproductive.

If you are sitting at home and so too are your project managers, estimators & accountants and they are unable to access the company files because they are `safely’ locked away on local PC’s and local servers at the office, then that is a major productivity loss.

Instead, if you were utilising a web based application like simPRO as your service management, project management and invoicing system to run your business, then everyone who required it could access the client records, quotes, projects and invoicing. Phone calls could be made to reschedule work, projects could be updated, sales calls made and quotes completed – all accessing the most up to date information that your business has on our secure, centralised servers that can be accessed from anywhere.

Don’t let the increasing number of days like today slow down your business, engage in a web based platform like simPRO and have the whole business productive no matter where they are.

Have a look at our PDF on why you should use web based software in your business.
