As always at simPRO we are improving the system to make it easier to use for our customers and able to deliver better results.

Here is a look at a few of our more recent developments.

Labour Type Multiplier / Fit times

So you have a prebuild library of all the different work you do, but you find that when you use a prebuild on an estimate you’re not entirely confident that you have allowed the correct amount of labour because the scenario for this job is slightly different to what was in mind when the prebuild was created.

Or perhaps you may want to know, based on the labour demographics that you’re using, how much time should be allowed on the job taking into account the skill levels and productivity of apprentices vs. fully qualified engineers?

Hmmm… what to do?

Enter, labour type multipliers and fit times. First I’ll go through them separately, though if you pair these two up, you end up with some very powerful functionality giving you great flexibility in your estimating.

Labour Type Multipliers

Go to Admin → Setup → Labour → Rates. In here you can specify as many different labour rates as you like. Typically these will be configured for the different charge out rates you have and often this will also mean different rates for tradesman vs apprentices etc. There is now an additional column called Multiplier.

Here is how it works: lets say to do a particular job, a tradesman will take 1hr, where an apprentice will take 1.5hrs. Here, because we are basing our rates on what the tradesman can do we will leave that labour type at a multiplier of 1 and put the apprentice labour type with a multiplier of 1.5. This is indicating that a second year apprentice will take 50% longer to complete the work than a fully qualified engineer, so the 1.5 hours listed instead of 1 hour indicates that it will take 50% longer for that labour type to do the work, (if a multiplier of 2 was used, that would indicate that this labour type would take 100% longer to do the work, or 2 hours instead 1).

Now lets jump to a job (add/edit items). With this configuration if I put my engineer’s labour on the job it will say I need 60 mins. If I change that labour type to apprentice then it tell me that I will need 90 mins on the job. However, if I put a tradesman and an apprentice on the job I will now need 75 minutes on the job as it averages across the 2.

Fit times

Ok, in this instance I may base (for example) all my prebuilds time on the basis of installing to plasterboard. But what happens when I need to fix to concrete, hard wood, brick etc? Now simPRO has the option of applying different fit times for different scenarios that you can apply to the same prebuild which will increase the estimated time required to complete the job.

To configure the fit times head over to Admin → Setup → Labour → Fit Times.

Create as many as you want. Think of these perhaps as degree’s of difficulty. You can put in your fit time name (eg. Concrete, Normal, Hard Wood, Poor Access etc) then apply the appropriate multiplier. As with the labour multiplier, you use 1.1 to increase the time by 10%, 1.5 for a 50% increase in time etc.

Back in our job now (add/edit items), next to all the items on the job you can set in the time column what the fit time should be. So if I have my original prebuild at 60 minutes, and apply a fit time of say concrete which has a 2x multiplier on it, the prebuild will now need 120 minutes to install.

Pretty cool huh.

Now let’s get tricky with it. Let’s say we have a prebuild with 60 minutes required on it. I apply the concrete fit time, which now says I need 120 minutes, however I am going to use an apprentice and a tradesman to do it for me. Now I am actually going to need 2.5 hours to do it all up.

Well, that should take out a whole lot of the guess work for you and allow you get much more accuracy in your estimates and your labour allowances for different installs.

Xero & simPRO – Official Release

simPRO_XeroThe simPRO to Xero and simPRO Digital Pen to Xero integrations have now officially been released!

Although we have numerous clients using both, it has just be officially signed off and published by the Xero team as a tried & true integration.

It was announced by Xero this week in their June 2010 Product Update Newsletter.

They have also made a nice little video, I must admit that the Xero team are excellent at make very succinct videos that give enough info to whet your interest without going too deep into details, something we need to learn from.

Major Update Released in June – simPRO Version 10.6

simPRO Enterprise version 10.6 was released this month with a huge range of updated functionality included, here is a quick look at some of the key updates:

General Enterprise Items

Labour Multipliers – Labour types can now have multipliers which will proportion estimated fit times. For example if you decide an apprentice takes 20% longer to do the work of a fully qualified engineer, then you would give them a multiplier of 1.2x. From then on, if your quote has an estimated time of 10 hours and you assign an apprentice to do the job it will estimate & bill for 12 hours.

Fit Time Multipliers – Fit time multipliers can now be setup and selected for each item on a quote/job. The multiplier will adjust the estimated time to complete the job/quote and bill for the revised time. Essentially this allows you to have a standard rate for a fit time and then allow extra automatically for more complicated situations.Examples of this may be that your standard price to fit conduit is to solid concrete, so you can a time multiplier for when required to fit to something more difficult such as a glass wall etc.

Post Codes – (Australia only) will now automatically populate once suburb and state are entered. UK post code look ups are in the pipeline.

Photo Attachments – simPRO will now allow the attachment of photos and other attachments to jobs and quotes from simPRO Mobile Digital Pens.

Location Contacts – You can now select a location contact on jobs and quotes as well as a client contact.

Xero Accounting Link – Interface has been developed and is now available for the Xero accounting system.

Maintenance Planner:

• Assets may now have multiple failure points on them for testing.
• Jobs created will now add any default scripts to descriptions.
• Description of assets is now added to each relevant department as well.
• Service level is recorded against each asset as a separate field now under Assets tab.
• Clients “on stop” will not be able to have jobs created.
• Maintenance planner jobs do not add a labour type with zero hours automatically now.

Ultra Mobile (Tablet PC, iPad etc):

• Can now schedule any employees in the system.
• New default to switch on/off the automatic updating of labour hours when completing job.

Field Mobile (PDA):

• Editing of Assets now available

Call Centre:

• Now available from the Projects menu when logged in as administrator or supervisor.
• Adding job description and adding/editing of assets now available.
• Call Centre Campaigns report added under the Reports->Sales->Campaigns menu of simPRO

Xero Accounting Link – Now Live in Enterprise

We are very pleased today to say that the full Xero Accounting link is live and running in simPRO Enterprise bringing all the simPRO family into line.

You can now run simPRO Enterprise, simPRO Lite and simPRO Mobile with direct links into Xero to create and update invoices.

With both Lite & Enterprise you can now easily create your invoices, receipt invoice payments, create credits, add new clients, suppliers and contractors all directly to Xero from your simPRO system.

simPRO Tips & Tricks – April 2010

Quick TipsThis month in Tips and Tricks we take a look at:

  1. How to use Kits to make reusable `Take off Lists’
  2. How to hand over a project to the maintenance department using asset tracking
  3. 3 Clicks to find out what jobs haven’t been invoiced this month.

Predefined Take off Lists

Ok, so you have to produce estimates fairly regularly for similar jobs.  Perhaps your business does house bashing (are we allowed to say that?) or you do light manufacturing jobs that always use the same components, or office fit outs etc…  Basically the work is fairly predictable and you are always putting the same items into quotes.

Wouldn’t it be easier if I could just setup a series of template take off sheet and just keep using those?

Not trying to be funny but simPRO can do it already for you!  It’s one way to think of simPRO kits.

What are kits though?

About 18 months ago we implemented a new layer of estimating by way of these things called kits.  The major difference between Prebuilds and Kits is this;

  • A prebuild will go onto your estimates, invoices and jobs as a single line item which generally means it’s great for per point pricing (amongst other things) though you need to go and find all the prebuilds each time you setup a quote, where as;
  • A kit comes into the quote as the breakdown of all the components that go into that kit (and can contain prebuilds that will still display as a single item).

So another way to think of a kit is `a prebuild of prebuilds and catalogue items’.  You can even put multiple labour rates into the kit to bring across so you can allocate the roofer, tiler and plumber all in one go.  Once you include a kit on a job all the items within that kit are brought across into your new quote, allowing you to simply go down through your list and put in the required quantities of each item you need (also a great way for not forgetting something!!).

Couple that with the recent upgrade that we spoke about in a February’s newsletter of allowing decimals of items; you can now have a really solid and automated method of smashing out quotes.

So with the boss happy that all these quotes are going out, and you’re happy because you have just reduced the items on your to do list, why not suggest a shout for a long lunch? (more…)


END OF MONTH – Simple Accounting Procedures that You Should be Doing!

“How can I be assured that the financial data in simPRO matches our accounts program?”

This is one of the most common questions I get from concerned bookkeepers and Accountants regarding the use of simPRO. One of the most important things to do here is to ensure that the security profiles of your users are adjusted to ensure that transactions cannot be created, deleted or edited by a staff member who does not understand the accounting implications of doing so.

If a financial transaction in simPRO has been posted to your accounts program and that transaction is to be altered or deleted, the user who has rights to do this will receive a warning message in red. The alteration will need to be manually adjusted in the accounting program as well.

The list below contains a step by step procedure that should really be followed at the end of month to ensure that your simPRO and accounts package reconcile.   It could also be followed for the whole financial year when the accounts are being closed off.

Full List of Updates – simPRO 10.5.0

The March update for simPRO Enterprise was released today, here is a full list of the new features & updates:

Updates

  • Support for RECS and VEECS is now available – Australia Only
  • Custom fields can now be set up for use under clients. Admin > Clients > Custom Tab.
  • The delivery docket form will now allow you to tick / untick all the items at once.
  • Lookup option added for ABN numbers – Australia Only
  • Departments, Business Groups, Payroll Categories, Currencies and Tax codes are now grouped under Setup >Accounts
  • Company Groups and Company Profiles are now grouped under Setup >Identifiers
  • “Do Not Call” option now available in client profile.
  • New Default – When invoicing a job leave it in current stage or move to complete (as currently done)
  • Call Centre Campaigns – Ability to create campaigns for call centre staff to call clients for specific sales campaigns.

simPRO Tips & Tricks – March 2010

Quick TipsThis month in Tips & Tricks we show you how to:

i. Invoice multiple jobs at once,

ii. Set up your client side simPRO login, and

iii. Decide on who gets a Christmas Hamper this year.

    Invoice multiple jobs at once

    Do you do heaps of smaller jobs that could be invoiced without manual intervention or checking every single one?  What about using recurring jobs or jobs from the maintenance planner that you know are already at the correct rate?  You ask “Why oh why do I need to go into each one to send the invoice?”

    Answer, you don’t.

    A really neat little feature that not many people know about is the ability to invoice any number of jobs with a single click.  Simply head over to the completed jobs list, then tick off the jobs you would like to raise an invoice for down the left hand side (if you would like all of them just tick the box at the top) then go to the bottom of the list in your completed job options and click the invoice button.  Now obviously doing it this way won’t give you the opportunity to drill into each one to check them off but if you know you don’t need to then this is an easy peasy way to get it done.

    Now let’s say you have just created 100 invoices, rather than going to each of them to print them off, why not just print them all off at once?  Head on over to Report > Sales > Invoices, filter by invoices created today then select the format you would like the invoices printed (or emailed) in and click print to drop them onto your printer, or email to send them out to everyone’s inbox.

    Job done.  Now where’s that coffee?

Recent simPRO Enterprise Development Highlights – March 2010

simPRO as a SaaS product is constantly evolving to meet the demands of it’s massively growing client base. Due to needs of the growing number of companies choosing to implement simPRO to help them run their business more efficiently we are always coming across new and better ways to get the job done.

Here are some of the most recently development highlights:

CIS Management – UK Only

As part of HMRC’s attempts to control the taxation of the self-employed trades, CIS (Construction Industry Scheme) was introduced about 2 years ago as a means to collect tax from the primary contractor who withholds (usually) 20% of the labour component when they pay their subcontractors invoices.

As part of this months release of simPRO 10.5.0 there will be a full CIS integration giving complete control over invoice creation, amounts to withhold, reporting and calculating CIS payments due. Not to mention the most important thing – built in reminders that tell you when you need to complete your CIS paperwork and when to make your CIS payments to HMRC so you don’t get fined.

simPRO Enterprise will have full CIS integration making it suitable for both the prime contractor and subcontractor roles. simPRO Lite will have CIS integration only available for the subcontractor roles. This feature combined with the RCTI (recipient created tax invoice) feature means that you can now get into full control of your paperwork and the paperwork of your smaller (less organised) subcontractors.

It is designed to work for any business that gets caught up in the CIS system.
