Here is a look at a few of our more recent developments.
Labour Type Multiplier / Fit times
So you have a prebuild library of all the different work you do, but you find that when you use a prebuild on an estimate you’re not entirely confident that you have allowed the correct amount of labour because the scenario for this job is slightly different to what was in mind when the prebuild was created.
Or perhaps you may want to know, based on the labour demographics that you’re using, how much time should be allowed on the job taking into account the skill levels and productivity of apprentices vs. fully qualified engineers?
Hmmm… what to do?
Enter, labour type multipliers and fit times. First I’ll go through them separately, though if you pair these two up, you end up with some very powerful functionality giving you great flexibility in your estimating.
Labour Type Multipliers
Go to Admin → Setup → Labour → Rates. In here you can specify as many different labour rates as you like. Typically these will be configured for the different charge out rates you have and often this will also mean different rates for tradesman vs apprentices etc. There is now an additional column called Multiplier.
Here is how it works: lets say to do a particular job, a tradesman will take 1hr, where an apprentice will take 1.5hrs. Here, because we are basing our rates on what the tradesman can do we will leave that labour type at a multiplier of 1 and put the apprentice labour type with a multiplier of 1.5. This is indicating that a second year apprentice will take 50% longer to complete the work than a fully qualified engineer, so the 1.5 hours listed instead of 1 hour indicates that it will take 50% longer for that labour type to do the work, (if a multiplier of 2 was used, that would indicate that this labour type would take 100% longer to do the work, or 2 hours instead 1).
Now lets jump to a job (add/edit items). With this configuration if I put my engineer’s labour on the job it will say I need 60 mins. If I change that labour type to apprentice then it tell me that I will need 90 mins on the job. However, if I put a tradesman and an apprentice on the job I will now need 75 minutes on the job as it averages across the 2.
Fit times
Ok, in this instance I may base (for example) all my prebuilds time on the basis of installing to plasterboard. But what happens when I need to fix to concrete, hard wood, brick etc? Now simPRO has the option of applying different fit times for different scenarios that you can apply to the same prebuild which will increase the estimated time required to complete the job.
To configure the fit times head over to Admin → Setup → Labour → Fit Times.
Create as many as you want. Think of these perhaps as degree’s of difficulty. You can put in your fit time name (eg. Concrete, Normal, Hard Wood, Poor Access etc) then apply the appropriate multiplier. As with the labour multiplier, you use 1.1 to increase the time by 10%, 1.5 for a 50% increase in time etc.
Back in our job now (add/edit items), next to all the items on the job you can set in the time column what the fit time should be. So if I have my original prebuild at 60 minutes, and apply a fit time of say concrete which has a 2x multiplier on it, the prebuild will now need 120 minutes to install.
Pretty cool huh.
Now let’s get tricky with it. Let’s say we have a prebuild with 60 minutes required on it. I apply the concrete fit time, which now says I need 120 minutes, however I am going to use an apprentice and a tradesman to do it for me. Now I am actually going to need 2.5 hours to do it all up.
Well, that should take out a whole lot of the guess work for you and allow you get much more accuracy in your estimates and your labour allowances for different installs.

Xero & simPRO – Official Release

The simPRO to Xero and simPRO Digital Pen to Xero integrations have now officially been released!
Although we have numerous clients using both, it has just be officially signed off and published by the Xero team as a tried & true integration.
It was announced by Xero this week in their June 2010 Product Update Newsletter.
They have also made a nice little video, I must admit that the Xero team are excellent at make very succinct videos that give enough info to whet your interest without going too deep into details, something we need to learn from.

How to Add Different Sage Tax Codes in simPRO
Thursday, February 25th, 2010If you are running the Sage – simPRO Accounting Link, you may need different tax codes such as T0 – tax free, T1 – standard VAT or T9 – VAT Exempt so your invoices properly match up between simPRO & Sage for your VAT reporting.
Here is how you do that:
Set Up Different Tax Codes
The first thing to do is set up the tax codes in simPRO. Go to Admin > Setup > Tax Codes > View
This will show you all your current available tax codes.
To match them up with the standard Sage codes of T0, T1, T9 – create new tax codes by clicking “Add”. Name them the same as the Sage tax codes but drop the T – so “T1” will be listed as “1”, T0 as “0” etc and enter in the tax rate.
You can add in as many different codes as you need.
Choose which Tax Code you want to set as default (usually Tax Code 1 – Standard 17.5%). This code will automatically be inserted into all quotes & jobs unless changed.

Choosing a Tax Code in a Quote/Job
When you create a job/quote, the tax rate will be set as the default rate (normally Tax Code 1 – 17.5%).
If you need to choose another Tax Code, simply open up the relevant department (note: it is to be changed in the department section not the job overview section) and click the drop down arrow on the Tax Code box and choose from your other available Tax Codes.
This will then apply the tax rate that you had set up in the Tax Code setup page and will match to the corresponding Sage tax code.

Click `Update’ underneath the Tax Code when you have selected the new rate and it will apply to that section. If you have multiple sections where you need to have the different rate, make sure you adjust the tax code for each of those sections.

And Now, The Google Tablet

Coming hot off the heels of the Apple iPad, we now have another serious contender in portable computing in the form of Google giving us their take on the tablet computer.
Using a sleek, ultra thin touch screen and running on the light weight Chrome OS, this device should really be a great thin client/web based computer.
Although there are no real specs about it yet, you will have to assume that they will go down the opposite path of Apple, meaning that it will be an open platform, will have the ability to multi task, will probably even have a USB port! Hopefully it will ship with 3G from day one.
Some of the specs that have been leaked recently say that it:
will sport a 10.1-inch TFT HD-ready multi-touch display, and would come with 64GB SSD, 2GB RAM and other bells and whistles such as WiFi, 3G, Bluetooth, Ethernet port, USB ports, webcam, 3.5mm audio jack, multi-card reader, etc.
This would be a better device than the iPad for those of us in simPRO as our whole business is web based and for e-mail, calendar, documents & chat we use Google Apps Premier – so I would make the bold assumption that they will be perfectly integrated as part of the entire system, bringing the hardware and software together in a perfect little Google ecosystem. Plus the benefit of an Ethernet port means that you patch into a network when Wifi & 3G are not available. If they add in an HDMI port as well, then it will be a ripper as it could be used for presentations etc.
We look forward to finding out more about the spec, pricing & shipping times and will keep you updated as we know more. But being a web based system, it is pretty safe to say that it would support all the simPRO systems – even the signature capture is quite likely as Google (unlike Apple) still support Flash.

Full List of Updates – simPRO Version 10.3.0

simPRO Version 10.3.0
- Profiles now support approval £ limits for both orders and quotes. If this option is enabled, quotes will not be able to be emailed/printed or converted to jobs unless approved. Orders will not be able to be emailed/printed unless order has been approved.
- Profiles now support read only modes for jobs, quotes, invoices and orders. Prompting of emails for invoices, quotes, orders and jobs is also available on profiles. Please see the Online Resource for further changes to profiles.
- Maintenance Planner – Prebuilds can now be associated to asset types. Jobs created from the maintenance planner will bill for these assets using the associated prebuilds. Contracts can be setup for clients and charge rates for these prebuilds defined. Inflation dates and amounts can also be setup on the contracts.
- Prebuilds now support part quantities (decimals) for build items.
- One off Items now appear like prebuild/catalogue items in the list of billable items. Ability to enter cost price, markup and sell all supported. One off items will now be marked up automatically if a new markup is entered on the overview page.
- New report – Employee Logs. This report combines the job logs, order logs and quote logs to create an employee log. This report is useful to see what employees have been doing over a date range.
- Schedule day view page will now show a legend of job status names / colours when “Schedule Colours” default is set to “Job Status”.
- Run sheet icon on schedule day view page will now only print employees that show on the schedule day view page under the seleted criteria rather than all employees.
- Prospect page – when clicking Email Prospect an email of the appointment is now sent as well for calendar import.
- New automated status change “The deposit for the job has been completely paid” added.
- Payroll export now exports job numbers.
- Sales Activity report now has option ‘Quotes Due’ which will show all quotes due in the date range entered
- Calendar appointments now compatible with Google calendar.
simPRO Recent Development Highlights

So here is a batch of new updates that were released this week in the version 10.3.0 release:
When sending calendar appointments from simPRO they are now compatible with both Outlook calendar appointments and Google calendar appointments. Watch this space, over the coming months there will be a lot more integration work happening with various Google components (like the recently released Google maps integration) and for Google Apps.
Task upgrades
Tasks have been used by many businesses to manage the smaller jobs that need to occur within a job, or to log all support/help related enquiries from customers to process later.
Recently we have made some more enhancements to this area. Users can now specify a completed date (which auto populates when a task is closed), a location and a contact related to the task. This will also enhance the reporting capabilities of tasks.
simPRO also now can accept tasks on quotes.
Does simPRO Run on the Apple iPad? It Sure Does!
Wednesday, February 3rd, 2010With all the excitement over the past week about the launch of the Apple iPad we have been getting people asking us – “does simPRO work on the iPad?”
First of all, if you have been asleep for the past week, the iPad is the new tablet computer release from Apple. It has sparked a lot of renewed interest in the tablet computer that has been available in various guises for many many years.
The tablet never really took off except for a few specialised industrial uses (simPRO has been available on most of the devices often called Ultra Mobile PCs for a few years).
The iPad has sparked this renewed interest in this computer format for a number of reason:
1) It is Apple and they put their brand reputation into it and let the Apple FanBoys whip up uber excitement across the web.
2) Since it is Apple you are pretty sure that it will look good and it will work.
3) It is actually a fraction of the cost of standard Windows based UMPCs & tablets.
4) Netbooks have been around for awhile and people are open to the smaller form factor that is mostly designed to be a web browsing (thin client) style product, not an all singing all dancing power computer.
5) As it is built on the iPhone OS, it will be supporting all the existing (squillions) of apps for the iPhone.
So – where does it fit in with simPRO systems. It fits in very well actually. Considering that it is effectively a stylish touch screen portable web browser, the iPad is a perfect fit for the simPRO user.
